The Center of Excellence Sustainable Agricultural Intensification and Nutrition (CE SAIN) founded by Royal University of Agriculture (RUA), a leading agricultural university in Cambodia, in partnership with Sustainable Intensification Innovation Lab (SIIL) at Kansas State University. CE SAIN aims to foster private sector innovation, agricultural research, education and training, and public-sector capacity building through improved collaboration and knowledge sharing focusing on enhancing food and nutritional security in Cambodia. To fulfil our goal, CE SAIN partners with several national and international entities (public and private sector and NGOs) to implement our activities in several provinces in Cambodia through various funding sources including the United States Agency for International Development (USAID), Feed the Future Innovation Labs, the United States Department of Agriculture (USDA), American Soybean Association (ASA), United Service Foundation (USF) and Epsilon Sigma Phi (ESP).

CE SAIN is currently seeking a full-time intern (1) Admin & HR Intern

Terms of Reference (ToR)

Position Title:            Admin & HR Intern

Location:                    Royal University of Agriculture (Phnom Penh) with travel to province as required

Reporting:                  Senior Admin & HR Officer

Citizenship:                Cambodia

Stipend:                      $200/month

Contract:                   Undetermined duration contract

Summary:      Admin & HR Intern will assist Admin & HR Office in preparing outgoing letter, filling necessary documents, check and stock stationery properly, joining procurement process cycling, support on CE SAIN event, and so on. He/she will also assist the Admin & HR Office to recruit intern/employee, update intern/employee profile into HR system, employee timesheet, etc.

Specific Roles and Responsibilities

  1. Administration Support
  • Assist on Receptionist
  • Response on incoming call on desk phone
  • Make sure all visitors meet their expectation and get right information
  • Record all documents into record book and delivery to direct person
  • Photocopy & scanning documents as needed
  • General Administration
  • Assist on filling necessary documents such as staff profile, contract, timesheet, leave, etc.
  • Assist on buying household and office supplies for daily operation
  • Assist on preparation of intern/staff certificate, verification letter, ect.
  • Assist on vehicle plate process with other relevant stakeholder
  • Assist on buying stationery and make sure it is in stock
  • Ensure all outgoing letter are numbered correctly within CE SAIN letterhead and format
  • Record and copies all outgoing letter before sending out to relevant staffs
  • Other tasks assigned by Senior Admin & HR Officer
  • Assist on Procurement Process
  • Support all procurement process from CE SAIN employee and seeking quotations as CE SAIN policies
  • Assist on preparing contract agreement
  • Prepare payment to supplier
  • Copy and fill all procurement documents and Record inventory into the record as necessary
  • Assist on Inventory Recording
  • Assist on updating inventory twice a year
  • Make sure every inventories are kept in place properly with sticking the logo of donor as required
  • Control the Office to make sure the comfortable for staff
  • Hygiene: make sure the office clean and well organize and outside the CE SAIN office well manage (clean)
  • Monthly meeting with cleaning to discuss on cleaning service
  1. HR Support
  • Assist on intern/employee recruitment
  • Make sure recruit new intern on time for all sites
  • Prepare intern contract for sign between intern and center director
  • Control intern contract (Renew or end the contract before the expired date)
  • Assist on employee timesheet
  • Send monthly attendance to all employees and keep hard copy

Minimum Required Qualification

  • A current university student (Year 3 or 4) or fresh graduate in Human Resources Management or relevant fields.


  • Good knowledge and understanding the basic of HR & administration roles
  • Good at interpersonal and negotiate skill
  • Strong on time management and plan for priority tasks
  • Computer literature in Ms. Word and Excel
  • Be able to use English and Khmer (Writing and Spoken)

  • Be able to work under pressure and commit to complete the tasks before deadline
  • High level of personal integrity and honestly
  • Ability to communicate effective with staffs, CE SAIN visitors, and suppliers
  • Team player and work well with other colleagues and staffs
